HR Coordinator Group
ABOUT THE ROLE
The HR Coordinator plays a key role in ensuring the smooth execution of HR administrative processes and support the employee lifecycle .This role includes managing personnel records, coordinating onboarding and offboarding, supporting payroll and benefits administration, and ensuring compliance with labor laws and internal policies. The HR Coordinator also contribute to HR reporting, certification standards, and continuous improvement of HR operations.
The HR Coordinator reports to the HR Operations Lead.
RESPONSIBILITIES
Administrative HR support
- Prepare contracts, amendments, standard letters, certificates, and regulatory declarations: probation period renewals and confirmations, work accident declarations.
- Maintain HRIS employee data accuracy and support reporting needs
- Coordinate onboarding and offboarding processes (e.g. induction program, exit interview…)
- Contribute to HR projects aligned with the overall HR strategy.
- Manage employee benefits administration (e.g., health insurance, meal vouchers, retirement plans)
- Process HR-related Invoices
HR Operations & Compliance
- Ensure compliance with labor laws and internal policies.
- Support internal and external audits by preparing required documentation (e.g., for ISO, labor inspections).
- Track and manage employee absences, leaves, and time-off requests.
- Coordinate medical check-ups and workplace safety requirements.
- Assist in the implementation of HR projects and process improvements.
Employee Relations & Communication
- Serve as a point of contact for employee queries regarding HR policies and procedures.
- Support internal communication initiatives.
- Assist in resolving minor employee issues or escalate them to HR Operations Lead and/or HR BP.
RESPONSIBILITES IN TERMS OF IMS CERTIFICATIONS

- Energy: Respect and enforce the policy of reducing energy consumption.
REQUIREMENTS
Education and experience
- Degree in Human Resources, Business Administration or related field
- At least 2 years of experience in Human Resources administration preferably in an international setting.
Technical skills
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite – experience with an HRIS is a plus.
- Excellent organisational skills and ability to prioritize effectively
- Able to work to agreed deadlines and targets
- Knowledge of labor law.
- Fluency in English and at least one other European language (e.g. Polish, French, Spanish, Italian or German)
