H&S Manager (Operations & Fit Out) Italy
ABOUT THE ROLE
The H&S Manager acts as RSPP (Responsabile del Servizio di Prevenzione e Protezione dei rischi) as defined by Italian law.
They are responsible for implementing the group’s H&S « OPS & Fit Out » program in Italy, working closely with all stakeholders: Data4 staff (especially Operations and Fit Out teams), contractors, clients, etc., in compliance with all applicable regulations and as part of a continuous improvement approach.
KEY RESPONSIBILITIES
Strategy:
- Participate in the review of the H&S policy
- Contribute to the development and review of the annual H&S program
- Define and lead the organizational structure (H&S committee, meetings, processes, KPIs, etc.) for deploying the H&S program
- Collaborate closely with the H&S Manager « Construction » Italy on interface topics between Construction, Fit Out, and OPS, as well as H&S awareness initiatives
- Work with H&S peers in other countries to improve processes and define best practices
- Report to the Group H&S Manager on implementation status and escalate any difficulties to jointly define solutions
- Identify risk factors, assess risks, and implement health and safety measures in compliance with legislation
- Develop and maintain safety procedures
- Propose and organize training and information programs for employees
- Participate in H&S consultations and annual reviews
- Provide employees with clear information on:
- General health and safety risks
- Emergency procedures (first aid, fire, evacuation)
- Designated emergency personnel
- RSPP staff and occupational doctor
- Specific risks and corresponding prevention rules
- Hazards from dangerous substances (if applicable)
- Prevention and protection actions implemented
On-site Activities:
- Conduct H&S audits and log findings in JIRA
- Ensure risk analyses for High-Risk Activities (HRA) are completed and that related measures are integrated into MOPs
- Assign green/yellow/red safety cards as appropriate
- Conduct Root Cause Analyses (RCA) for incidents and near-misses
- Oversee H&S action plans and track via JIRA
- Define and implement H&S awareness actions and tools
- Create H&S procedures, instructions, posters, etc.
- Propose and manage appropriate PPE for Data4 employees
- Lead evacuation drill planning and execution
- Contribute to the update of the Fire Safety Plan
Administrative Tasks:
- Monitor regulatory compliance and maintain awareness of H&S legal updates
- Update regulatory documents and those required by the Integrated Management System (IMS), e.g., Risk Assessment Document, Prevention Plans
- Ensure ISO 45001 compliance across countries where the group operates
- Maintain H&S dashboards and KPIs
- Manage the H&S document database to ensure proper organization and accessibility
- Propose training actions for Data4 teams
- Contribute to the improvement of H&S tools
- Participate in the annual H&S budget planning
- Manage OPEX and CAPEX files related to H&S initiatives (quotes, purchase orders, invoice tracking, etc.)
- Serve as the H&S point of contact for safety committees, labor inspectors, and official/legal entities
- Represent and defend Data4’s H&S positions with clients and contractors
RESPONSIBILITES IN TERMS OF IMS CERTIFICATIONS
Respect and enforce certification policies in terms of:

- Energy: Respect and enforce the policy of reducing energy consumption.
REQUIREMENTS
Education & Experience
- High school diploma (minimum) plus certified completion of training courses on workplace risks and safety, including:
- Risk prevention
- Ergonomics and stress
- Organizational and technical-administrative management
- Communication and trade union relations
OR
- Experience in one of the above H&S roles for at least six months before August 13, 2003, along with appropriate training
OR - A degree in one of the following fields: L7, L8, L9, L17, L23 or a Master’s in LM26, or an equivalent recognized qualification
- Minimum 5 years’ experience required
- Proven experience in operational H&S management on technical sites involving construction, industrial building management, contractors, and client operations
Technical Skills
- Ability to understand and implement labor law and H&S best practices (e.g., INRS)
- Knowledge of and experience with ISO 45001
- Familiarity with continuous improvement tools: FMEA, 5M, Root Cause Trees, PDCA
- H&S audit experience
- Experience in project participation and methodology
- Fluency in written and spoken English is mandatory
